ITEM: AUTHORIZATION TO UTILIZE A SOURCEWELL CONTRACT AS A BASIS FOR PRICING FOR THE PURCHASE OF MICROSOFT SOFTWARE, LICENSES AND MAINTENANCE

REQUEST: Authorization to award a three (3) year annual contract to CDW Government, Inc. (CDW-G) in the amount of $530,345.82, for the purchase of Microsoft licensing and maintenance.

...body
EXPLANATION: The IT Department utilizes a Sourcewell contract with CDW-G to provide Microsoft licensing and maintenance. The contract is set to expire on March 31, 2024.

The contract is required for the acquisition of software licenses and support for multiple Microsoft products including but not limited to Exchange (Office 365 email); Windows OS, MS Office 365, MS Project, MS Visio, Servers licensing, Data Center licensing, MS SQL, Visual Studio and MSDN.

These licenses are necessary for business operation and will ensure compliance with licensing requirements, as the Village continues to improve services and transparency. Prior year expenditures were $127,645.73. The Microsoft licensing has increased since our last renewal due to: 1. Microsoft has increased licensing costs by approximately 10-15% for the past three (3) years in a row; 2. IT installed two (2) new virtual server systems at Village Utility sites to further harden and secure Utility infrastructures; and 3. IT installed new viral server hardware for the Village that requires more licensing but will save the Village in yearly capital costs.

Staff recommends entering into a three (3) year agreement with CDW-G, utilizing Sourcewell contract #081419 as a basis for pricing, in the amount of $ 176,781.94 per year or $530,345.82 over the three (3) year period ending March 31, 2027.
