REQUEST:                     Authorization to renew Mimecast cybersecurity, email protection, and training services through CDW Government, Inc. (CDW-G), utilizing Sourcewell Contract #121923, in the amount of $52,216.00.

EXPLANATION:                     Staff is seeking to renew our cybersecurity and email protection services contract with Mimecast. Mimecast continues to be a trusted partner in delivering comprehensive, cloud-based security solutions designed to safeguard our Microsoft 365 environment, defend against evolving cyber threats, and strengthen our user awareness posture.

 

The services are provided by CDW Government, Inc. (CDW-G), an authorized reseller under Sourcewell Contract #121923, which remains valid through 2028. The renewal includes both the continuation of core services and the addition of enhanced modules to align with best practices in cybersecurity and updated state requirements.

 

The services included in this renewal are as follows:

1.                     Mimecast 365 Protect

                     Advanced email security features, including anti-phishing, anti-malware, and URL/attachment scanning.

                     Ensures continuity of email communications during Microsoft 365 service interruptions.

2.                     Cyber Awareness Training

                     Delivers engaging, frequent, and metrics-driven security awareness modules to staff.

                     Focuses on reducing human error by educating users on phishing, social engineering, and data handling best practices.

3.                     DMARC Analyzer

                     Enhances email authentication and domain protection.

                     Assists in implementing DMARC (Domain-based Message Authentication, Reporting & Conformance) to prevent email spoofing and improve email deliverability.

4.                     Brand Exploit Protection

                     Detects and removes malicious web domains impersonating the Village’s digital identity.

                     Prevents brand-related phishing attacks targeting residents, partners, and internal stakeholders.

5.                     Advanced Support Services

                     Provides priority access to Mimecast experts for configuration, troubleshooting, and incident response.

                     Includes proactive health checks and guidance on policy tuning and threat insights.

This renewal reflects a strategic expansion of services from prior years to address increased cyber risks and improve organizational resilience. The pricing is based on Sourcewell Contract #121923, awarded to CDW Government, Inc. (CDW-G), which meets the Village’s cooperative purchasing requirements.

Pursuant to Chapter 3 of the Village’s Purchasing Manual, Council authorization is required for purchases exceeding $50,000, even when competitively sourced through a cooperative contract.
