ITEM: AUTHORIZATION TO EXECUTE AN AMENDMENT TO AN EXISTING CONTRACT FOR ANNUAL LAWN MAINTENANCE SERVICES
REQUEST: Authorization to amend an existing contract with Florida ULS Operating, LLC DBA Haverland Ag Innovations, for the addition of lawn maintenance services for newly reconfigured sports fields located at Greenbriar Park and South Shore Park in the amount of $202,776.16 annually.

EXPLANATION: On October 10, 2023 the Village Council approved a contract with Florida ULS Operating, LLC DBA Haverland AG Innovations to provide annual lawn maintenance for Wellington’s Amphitheatre in the amount of $135,841.20 ($45,280.40 annually). The initial term of the contract is for three (3) years, and began December 1, 2023. The contract includes the option to renew for three (3) additional one (1) year periods, potentially extending the contract through 2029.
To minimize potential cost increases from having to purchase new equipment, add additional staff, and increase chemical and fertilizer use for the reconfigured sports fields, staff recommends Haverland Ag Innovations provide lawn maintenance services to both Greenbriar and South Shore Park.
Staff requests authorization to amend an existing contract, effective July 1, 2025, with Florida ULS Operating, LLC DBA Haverland Ag Innovations, for the addition of lawn maintenance for Greenbriar Park and South Shore Park’s newly reconfigured sports fields in the amount of $202,776.16 annually.
Pursuant to the Village’s Purchasing Manual, the threshold for this contract amendment exceeds $50,000 and requires Council approval. Haverland Ag Innovations proposed pricing are summarized below including a multi-acre discount provided for both locations:

FISCAL IMPACT: The funds for Greenbriar Park for the remainder of FY 2025 are available in the Neighborhood Parks budget. The funds for South Shore Park for the remainder of FY 2025 are available in the Aquatics and Sports Facilities budget. The continued maintenance for both Greenbriar Park and South Shore Park fields will be budgeted in the proposed FY 2026 in the Aquatics and Sports Facilities budget.
