ITEM: AUTHORIZATION TO RENEW EXISTING CONTRACTS FOR WATER AND WASTEWATER ENGINEERING AND WATER DISTRIBUTION, WASTEWATER COLLECTION AND PAVING, GRADING AND DRAINAGE ENGINEERING
REQUEST: Authorization to renew existing contracts for water and wastewater engineering and water distribution, wastewater collection and paving, grading and drainage engineering with multiple vendors.

EXPLANATION: On October 11, 2011, the Village Council awarded contracts for water and wastewater engineering to Arcadis RMA and MWH Americas, Inc., and contracts for water distribution, wastewater collection and paving, grading and drainage engineering to Engenuity Group, Inc., Mock Roos, Inc., Simmons and White, and Wantman Group.
The initial term of the contracts was for three years expiring on October 11, 2014, with a provision for one additional one year renewal option. Staff is seeking authorization to renew the contracts with each firm, with the exception of Simmons and White (provided notice of non-renewal due to current workload and other factors), for one additional and final year through October 11, 2015. All awardees have agreed to the same terms, conditions and pricing.
All professional consulting work is performed on an as needed basis and will be initiated by executing a work order to a firm under a contract for the related work category. Approval of any work orders in excess of $25,000, through the use of these contracts, will require a subsequent Council approval.

FISCAL IMPACT: There is no fiscal impact until work is assigned. Cost for engineering services relating to a capital improvement project are included within the project budget. General engineering studies are budgeted within the construction and engineering department operating budget.
