REQUEST:                     Authorization to amend an existing contract for Enterprise Resource Planning (ERP) System Maintenance and Support Services with Tyler Technologies, Inc. increasing the contract total to $627,623.

EXPLANATION:                     On December 10, 2024, Council approved the renewal of the contract with Tyler Technologies, Inc. for ERP System Maintenance and Support Services in the amount of $566,557. Subsequently, Staff amended the contract to add EnerGov Assist Services Program, Enterprise Permitting & Licensing Mobile and remove payroll tax tables bringing the additional annual services amount to $45,066.

 

Staff is currently requesting the addition of EERP Client Success Support in the amount of $16,000 for a six-month trial period. If staff determines that EERP Client Success Support meets our expectations and operational needs during this trial period, the annual cost moving forward would be $32,000.

 

Pursuant to the Village’s Purchasing Manual, the change order threshold for this contract requires Council approval when the cumulative dollar amounts of the change orders have reached $50,000. Staff is seeking approval to amend the existing contract to include EERP Client Success Support Services as outlined below.
