EXPLANATION: The Information Technology Department previously purchased two (2) Datto Siris 5-48TB storage servers, and the Infinite Cloud Retention Services utilizing (GSA) contract GSA (MAS) 070 GS-35F-032GA. The purchase of the new servers increased the capacity of the existing servers, allowed data backups to be streamed to unlimited cloud-based storage and added a level of encryption and disaster recovery services
The current Infinite Cloud Retention Service term ends 11/30/2025. The proposed renewal would provide uninterrupted coverage beginning December 1, 2025, through November 30, 2027.
The Infinite Cloud Retention Service is available through the GSA (MAS) 070 GS-035F032GA contract at a price of $3,684.79 per month/per device for a total of $88,434.96 annually. Village staff has obtained a competitive quote through Consolidated Computing for $3,587.50 per month/per device for a total of $86,100.00 annually for a two (2) year term, which is below the GSA rate.
The total cost for the two Datto storage servers over the proposed two-year contract term is $172,200.00. This pricing is $4,669.92 less than the GSA contract rate. Approval of this quote will guarantee an annual per-device price of $86,100.00 for the duration of the two-year term. The proposed contract pricing is provided below:

Pursuant to Chapter 3 of the Village’s Purchasing Manual, Council authorization is required for purchases exceeding $50,000, even when competitively sourced through a cooperative contract.
Staff recommends approving the two-year renewal of the Datto Infinite Cloud Backup Service with Consolidated Computing. The renewal period is from December 1, 2025, through November 30, 2027. The monthly charge is $3,587.50 per device, the total contract amount is $172,200.00.
