ITEM: AUTHORIZATION TO RENEW EXISTING CONTRACT FOR ROADWAY STRIPING AND PAVEMENT MARKING SERVICES
REQUEST: Authorization to renew existing contract with Steffen & Sons Striping, LLC. for Roadway Striping and Pavement Marking Services Village-wide, in the amount of approximately $168,028.42.

EXPLANATION: The Public Works Department maintains roadways Village-wide by utilizing a contract to install thermoplastic pavement markings (line, arrows, messages and pavement markers).
On April 12, 2022, Council awarded ITB 202210 Roadway Striping and Pavement Marking Services to Steffen & Sons Striping, LLC to provide such services to be used Village-wide. The first renewal option is set to expire April 11, 2024.
The original bid documents provides for price increases based on the most recent Consumer Price Index and/or written proof of a manufacturer’s price increase. In an effort to ensure the best pricing for the Village, staff was able to negotiate the requested renewal increase with Steffen & Sons Striping, LLC from 10% to 4%.
Projects scheduled for Fiscal Year 2023-2024 were previously presented and approved by Council at the October 10, 2023 meeting, noting the upcoming April 11, 2024 expiration date. The financial impact of the 4% increase is approximately $6,721.00 for the approved projects.
Staff is seeking authorization to exercise the second renewal option with Steffen & Sons Striping, LLC with an increase of 4% in pricing through April 11, 2025.
