ITEM: RATIFICATION OF EMERGENCY PURCHASE ORDERS ISSUED FOR REPAIRS AT OLYMPIA PARK
REQUEST: Ratification of emergency purchase orders issued to Cerrito Electric for repairs at Olympia Park in the amount of approximately $86,000.00.

EXPLANATION: Staff discovered an electrical theft occurred at Olympia Park on or about October 11, 2024. Electrical copper wire was cut and pulled out of sixteen (16) electrical boxes and three (3) light poles. As a result, the lighting system for the football field, track field, and baseball fields 5, 6 and 7, lost power. Staff engaged Cerrito Electric to complete the emergency repair work at a cost of approximately $79,900. A second incident occurred on or about December 2, 2024, whereby additional repairs in the amount of $7,180 were required. Staff has submitted insurance claims to Florida Municipal Insurance Trust (FMIT) for the losses and to date has received $23,000 to assist with these expenditures. The Village expects to receive an additional $30,000 in insurance proceeds.
Pursuant to the Purchasing Manual, emergency purchases are exempt from competition in an emergency situation, when the need is the result of a serious and unexpected occurrence and demands immediate action. However, emergency purchases over $50,000 still require Council approval.
Staff is requesting ratification of emergency purchases orders issued to Cerrito Electric to repair electrical theft at Olympia Park in the amount of approximately $86,000.00.
