ITEM: AUTHORIZATION TO AMEND AN EXISTING PURCHASE ORDER FOR THE LICENSE PLATE READER (LPR) UPGRADE

EXPLANATION: On August 10, 2023, the staff issued a purchase order to ER Tech Systems Group Inc. DBA Broadcast Systems in the amount $49,929.76 for the project. The IT Department has been upgrading the aging (5 year old) License Plate Reader communication hardware throughout the Village. Two of the LPR locations require additional communications boxes for the completion of the upgrade and online security. The cost for the additional products and services is $9,443.18, increasing the purchase order total to $59,372.94. The pricing for this project is based off of GSA Contract# GS-07F-173GA.
Vigilant VLP Communications Box Product Highlights:
* The VLP box combines processing and power in a durable, ruggedized enclosure that is equipped with an all-in built-in processor with GPS and PoE for up to 4 cameras.
* Ease of install and interoperability with our existing LPR cameras
* Single vendor to call for maintenance and support all components are Vigilant from the top to bottom of the pole.
Pursuant to the Village's Purchasing Manual, since the total cost of services now exceed $50,000, Council approval is required.
Staff recommends amending the purchase order for the License Plate Reader (LPR) Upgrade to add additional products and services with ER Tech Systems Group Inc. increasing the purchase order total to $59,372.94.
