ITEM: AUTHORIZATION TO RENEW A CONTRACT FOR THE SUPPLY AND DELIVERY OF TROPHIES, PLAQUES, AND MEDALS
REQUEST: Authorization to renew a contract with Visual Images for the Supply and Delivery of Trophies, Plaques, and Medals, for approximately $30,000 annually.

EXPLANATION: The Parks and Recreation Department purchases and awards trophies, plaques, and medals for youths who participate in seasonal athletic programs. On July 26, 2011, Council awarded ITB #057-11/ENR to Visual Images (Western Community Local Vendor) to provide these commodities. The initial term of the contract expires on August 1, 2014, and has a provision for two (2) additional one (1) year renewals. Visual Images has agreed to renew through August 1, 2015 with no price increases.
In order to ensure the best pricing, four (4) Palm Beach County vendors were contacted and asked to submit quotes on specific contract awarded items; two (2) quotes were received, and both included pricing higher than current contract prices. Staff requests authorization to renew the contract with Visual Images for the supply and delivery of trophies, plaques, and medals, for approximately $30,000 annually.
