ITEM: AUTHORIZATION TO UTILIZE A NATIONAL INTERGOVERNMENTAL PURCHASING ALLIANCE (NIPA) CONTRACT AS A BASIS FOR PRICING FOR THE LEASE OF TWO LARGE FORMAT COLOR PRINTERS (PLOTTERS); AND DISPOSITION OF EXISTING SURPLUS EQUIPMENT (PLOTTERS)
REQUEST: Authorization to utilize NIPA contract #CP 002-13, as a basis for pricing, for the lease of two large format color printers (plotters), from Canon North America, at a total cost of $109,994; and disposition of existing surplus equipment (plotters), pursuant to Village disposition policies.

EXPLANATION: The Village's existing two large scale plotters and one large scale scanner are scheduled for replacement in the current budget year. The current equipment (Canon OCE Colorwave 600) is approximately six years old and is currently at "End-of-Life" maintenance and support, with our current vendor (Canon). The existing large scale printers take longer than normal to print, and the scan/copy functions are slow and outdated, consistently causing issues for staff and end-users. Staff is requesting authorization to lease two large format color printers (Canon ColorWave 500) with wide format built in scanners (SCEXP3 scanners) from Canon North America, Inc., at a total cost of $109,994.00.
The Canon ColorWave 500 is a commercially available large format printer, scanner and copier in one convenient single footprint. The printers print on over twenty-three different media types (Tyvek, Self-Adhesive Vinyl, Satin Fabric, etc.), which can be used for printing maps, signs, drawings, plans, banners, public records requests, etc. for all the Village Departments indoor and outdoor applications. The ColorWave 500 has an easy to use touchscreen tablet-like feature, which requires little or no training. The new printers also provide faster print times, due to newer print head and software technologies.
