ITEM: AUTHORIZATION TO RENEW MULTIPLE EXISTING CONTRACTS FOR UTILITY PROCESS CONTROL ANNUAL MAINTENANCE
REQUEST: Authorization to renew existing contracts with 1) Infamation Technologies Group, LLC dba ITG Technologies, 2) DNA Engineering LLC, and 3) Star Control Inc. for utility process control annual maintenance services, at a cost of approximately $75,000 annually.

EXPLANATION: The Utilities Department utilizes a system of Process Logic Computers (PLCs) and a Supervisory Control and Data Acquisition system (SCADA) to operate, monitor, and manage raw water supply wells, the water treatment plant, remote water booster stations, sanitary lift stations, the water reclamation facility and the reuse distribution system. These systems monitor, gather, process real time data, and directly interact with devices such as sensors, valves, pumps and motors. These systems are crucial to maintaining efficiency, processing data for decision-making and communicating system issues to minimize downtime.
On September 5, 2023, Council awarded ITB 202330 to 1) Infamation Technologies Group, LLC dba ITG Technologies, 2) DNA Engineering LLC, and 3) Star Control Inc. for utility process control annual maintenance services. The contract contains four (4) one (1) year renewal options.
DNA Engineering LLC has requested a 1.09% overall pricing increase. Star Controls and Infamation Technologies did not request pricing increases this renewal term. The estimated annual fiscal impact of DNA Engineering's requested increase is an overall rate increase of $25.00.
Staff is seeking authorization to exercise the third renewal option with 1) Infamation Technologies Group, LLC dba ITG Technologies, 2) DNA Engineering LLC, and 3) Star Control Inc., through September 4, 2027.
