ITEM:                     AUTHORIZATION TO RENEW AN EXISTING CONTRACT FOR PURCHASE OF MULCH, PINE STRAW, AND GROUND PREPARATION, VILLAGE-WIDE

 

REQUEST:                     Authorization to renew an existing contract with East Coast Mulch Corporation, a sole provider, for the purchase of mulch, pine straw, and ground preparation, Village-wide, in the amount of approximately $115,520 for Fiscal Year 2021.

EXPLANATION:                     On June 12, 2018, Council awarded ITB #016-18/ER, Annual Contract for Mulch, Pine Straw and Ground Preparation, to Amerigrow Recycling Delray, L.P as a primary awardee and East Coast Mulch Corporation, as a secondary awardee, to provide various materials needed to maintain facilities throughout the Village.

 

The primary awardee (Amerigrow Recycling Delray, L.P) declined to renew the agreement for one additional year.

 

Staff is seeking authorization to exercise the final renewal option, with the secondary awardee, East Coast Mulch Corporation, a Palm Beach County vendor with no price increases, through June 11, 2022, for the purchase of mulch, pine straw, and ground preparation Village-wide, in the amount of approximately $115,520 annually.

 

The Village expects to pay approximately $15,000 more than last year due to the primary vendor declining to renew the contract.
