REQUEST: Authorization to enter into a three year agreement with Software House International, Inc. (SHI) in the amount of $81,422.47 per year, by utilizing State of Florida Contract #252-001-09-1, as a basis for pricing for the purchase of Microsoft software licensing and maintenance.

EXPLANATION: The IT Department utilizes State of Florida Microsoft License Agreement #252-001-09-1 to contract with Software House International, Inc. (SHI), the only awarded vendor under the State contract. The contract was set to expire on March 31, 2015; however, the State has agreed to extend the contract for six months through September 30, 2015.

The contract is required for the acquisition of software licenses and support for multiple Microsoft products including but not limited to Exchange (365 email), Microsoft Office, Project, Visio, Server & Data Center, and SQL database.

These licenses are necessary for business operations and will ensure compliance with licensing requirements as Wellington grows and continues to improve services and transparency.

Microsoft has agreed to lock in pricing at $81,422.47 per year for the next three (3) years through the SHI reseller, a savings of approximately $40,000 from the current cost of $120,000 annually.

In order to ensure the best possible price, staff solicited quotes from two other firms (CDW-G - $86,291.37) and (Insight - 84,588.79), and found SHI's annual pricing to be the most competitive ($81,422.47).

Staff recommends entering into a three year agreement with SHI, utilizing the State contract as a basis for pricing, in the amount of $81,422.47 annually and $244,267.41 over a three year period.
