ITEM:  RATIFICATION OF EXPENDITURES FOR EMERGENCY DEBRIS PICKUP AND DISPOSAL

 

REQUEST:  Ratification of expenditures for emergency debris pickup and disposal in the amount of $2,000,000.

EXPLANATION:  On May 24, 2016, Council awarded debris management contracts to multiple vendors.  As part of the solicitation, Tag Grinding Services, Inc. was selected as one of the Village’s debris service providers.  The contract was awarded as a stand-by debris pickup and disposal contract, activated by the Village, only in the event of an emergency.

 

As a result of Hurricane Irma, the Village issued a notice to proceed to Tag Grinding Services, Inc. to provide post storm debris pickup and disposal.  Subsequently, the Village issued purchase order #171018 to Tag Grinding in the amount of $2,000,000, to provide emergency storm related debris pickup and disposal services.  Since expenditures to date exceed $25,000, staff is seeking ratification of such post Hurricane Irma debris related expenditures.

 

Staff will seek ratification of any additional storm related debris expenditures exceeding the initial $2,000,000, at a future Council meeting.

 

Based on the President’s post storm emergency declaration, the Village anticipates partial reimbursement of expended funds from the Federal Emergency Management Agency (FEMA).
