ITEM: AUTHORIZATION TO RENEW AN EXISTING CONTRACT FOR BUS RENTAL AND DRIVER SERVICES

EXPLANATION: The Parks and Recreation Department utilizes bus rental and driver services for summer day camp and special event programs.
On March 22, 2016, Council awarded RFP #022-15/ENR to Bus One, LLC, a Palm Beach County local vendor, to provide such services. Staff is requesting authorization to exercise the first renewal option through March 22, 2019, with a price increase of $18.00 per hour, over the existing contracted rate, which accounts for an annual financial impact to the Village of approximately $8,100.00.
Pursuant to language found in the original RFP document, a fuel adjustment claim may be made at any time during the contract period. The cost of diesel fuel paid by Bus one, LLC has increased from approximately $2.05 in 2016 to $3.05 in 2018. Based on the fuel increase, and the excellent service provided by Bus One, LLC during the initial term of the contract, staff recommends renewing the contract with the proposed increase for one additional year.
In order to ensure competitive pricing, staff researched similar Palm Beach Gardens, City of Boca Raton and Palm Beach County School District contracts, and found the proposed increase to be warranted.
Staff is seeking authorization to renew an existing contract with Bus One, LLC for bus rental and driver services through March 22, 2019, in the amount of approximately $43,000.00 annually.
