ITEM: AUTHORIZATION TO UTILIZE A NATIONAL JOINT POWERS ALLIANCE (NJPA) CONTRACT AS A BASIS FOR PRICING FOR THE PURCHASE OF MICROSOFT SOFTWARE, LICENSES AND MAINTENANCE

EXPLANATION: The IT Department utilizes State of Florida contract #252-001-09-1 with Software House international, Inc. (SHI) to provide Microsoft licensing and maintenance. The contract is set to expire on March 31, 2018.
The contract is required for the acquisition of software licenses and support for multiple Microsoft products including but not limited to Exchange (365 email), Microsoft Office, project, Visio, Server and Data Center, and SQL database.
These licenses are necessary for business operations and will ensure compliance with licensing requirements, as the Village continues to improve services and transparency.
Microsoft has agreed to lock in pricing at $91,701.87 per year, for the next three years through the CDW-G reseller. The pricing includes a 5.25% discount off CDW-G's advertised price for such software.
In order to ensure the best possible price, staff solicited a quote from SHI (existing reseller) utilizing the State of Florida contract (252-001-09-1), and found the CDW-G contract through the NJPA provided better pricing.
Staff recommends entering into a three-year agreement with CDW-G, utilizing an NJPA contract as a basis for pricing, in the amount of $91,701.87 per year or $275,106 over a three year period.
