ITEM:  AUTHORIZATION TO AWARD AN ANNUAL CONTRACT FOR THE PURCHASE OF MULCH  

 

REQUEST:  Authorization to award an annual contract to a primary and secondary vendor, for the purchase of mulch, in the amount of approximately $85,000 annually.

EXPLANATION:  The Public Works Department utilizes various mulch materials to maintain facilities throughout the Village.

 

On April 29, 2018, the Village released ITB #016-18/ER, Annual Contract for Mulch, Pine Straw and Ground Preparation, seeking qualified vendors to provide such services.  On May 16, 2018, the Village received two (2) proposals (East Coast Mulch-PBC and Amerigrow Recycling-PBC) meeting the required specifications. The Public Works Department is requesting authorization to award a primary and secondary awardee as shown on Exhibit A attached.

 

The initial term of the contract is for two (2) years from the date of award with the option to renew for two (2) additional one (1) year periods.

 

The secondary vendor will be utilized only in the event the primary vendor cannot provide the required material.  No secondary award is proposed for items on which only one bid was received.  For the “no award” items, staff will solicit quotes and purchase based on the lowest, responsive quote received. 

 

Staff recommends awarding contracts to East Coast Mulch and Amerigrow Recycling, both Palm Beach County vendors, for the purchase of mulch, in the amount of $85,000 annually
