ITEM: AUTHORIZATION TO RENEW EXISTING CONTRACTS FOR THE PURCHASE AND DELIVERY OF MOSQUITO CHEMICALS
REQUEST: Authorization to renew existing contracts with Adapco, LLC and Univar USA, Inc., for the purchase and delivery of mosquito chemicals in the amount of approximately $60,000 annually.

EXPLANATION: The Public Works Department utilizes chemicals to provide mosquito control services throughout the Village.
On January 26, 2016, Council awarded Bid #019-15/ENR multiple vendors for the purchase and delivery of mosquito chemicals. The initial term of the contract was for two (2) years with two (2) additional one (1) year renewal options. Staff is requesting authorization to exercise the final renewal option through January 26, 2020, with minimal price increases.
The chemicals subject to the proposed increase are rarely utilized, therefore the increases will pose little to no impact to the Village, (See attached Exhibit A).
Pursuant to the Special Terms and Conditions of the original bid document, price increases are permitted during the renewal period, upon mutual agreement between the Village and the vendor.
One of the previously awarded vendors, Clarke Mosquito Control Products, Inc., was not considered for contract renewal since they no longer distribute larvicide products (required as part of the contract).
Staff is requesting authorization to exercise the final renewal option, effective through January 26, 2020, with Adapco, LLC, and Univar USA, Inc. for the purchase and delivery of mosquito chemicals, with minimal price increases.
