ITEM:  AUTHORIZATION TO RENEW EXISTING CONTRACTS FOR THE PURCHASE OF SOD

REQUEST:  Authorization to renew existing contracts for the purchase of sod in the amount of approximately $220,000.00 annually.

…body

EXPLANATION:  The Public Works Department utilizes various sod types to maintain facilities throughout the Village.

On April 26, 2016, Council awarded Bid #008-16/ENR to Odum’s Sod, Inc. a Western Communities local vendor and to Agricultural Land Services, Inc. a Palm Beach County local vendor.  The contracts are set to expire on April 26, 2019.

Staff is requesting authorization to exercise the first renewal option, with both vendors, through April 26, 2020, with minor price increases and decreases.  Based on historical usage, the proposed pricing (increases and decreases) poses a minimal net financial impact to the Village of approximately $2,000.00 annually.

In order to ensure the best pricing, staff researched and found a similar Southeast Florida Co-op contract and found the Village’s contract pricing to be competitive. Prior year expenditures were approximately $218,000.00.
