ITEM:                     AUTHORIZATION TO RENEW AN EXISTING CONTRACT FOR THE SUPPLY AND DELIVERY OF ROAD BASE 

 

REQUEST:                     Authorization to renew an existing contract with Palm Beach Aggregates, LLC for the supply and delivery of road base, in the amount of approximately $126,000.00 annually.

EXPLANATION:                     The Public Works Department utilizes a contract for the purchase and delivery of shell rock to provide maintenance and repairs to over 30 miles of unpaved roadways throughout the Village, including equestrian preserve areas. 

 

On June 27, 2017, Council awarded Bid #010-17/ENR to Palm Beach Aggregates, LLC as the primary awardee and to Austin Tupler Trucking, Inc., as the secondary awardee, effective through June 27, 2019. 

 

Staff is requesting authorization to exercise the first renewal option with Palm Beach Aggregates, LLC, a Western Community local vendor, effective through June 27, 2020 with no price increases.  Austin Tupler Trucking, Inc., has declined to renew their contract. 

 

The contract specifications are exclusive to the Village due to the specific types of material used for unpaved roadways and equestrian areas Village-wide.
