ITEM: AUTHORIZATION TO CONTINUE UTILIZING AN EXISTING AGREEMENT WITH KRONOS SAASHR, INC. FOR SUPPORT, MAINTENANCE, LICENSES AND RENTAL OF THE VILLAGE’S TIMEKEEPING AND PERFORMANCE REVIEW SYSTEM
REQUEST: Authorization to continue utilizing an existing agreement with Kronos Saashr, Inc. for support, maintenance, licenses and rental of the Village’s timekeeping and performance review system, at a cost of approximately $42,045.20 for fiscal year 2020.

EXPLANATION: The Village utilizes Kronos Saashr, Inc. for timekeeping and performance reviews. The agreement renews automatically on a month-to-month basis until terminated by either party (30 day written notice from the Village or 90 day written notice from Kronos).
The Village’s existing agreement with Kronos Saashr, Inc. for support, maintenance, license and rental of the Kronos system, for both timekeeping and electronic employee performance evaluations, is approximately $42,045.20 annually. As part of the agreement (section 2.5), Kronos may increase the monthly service rates, once per year. As part of the renewal, and pursuant to the terms of the original agreement, Kronos Saashr, Inc. has proposed an increase of 4% for fiscal year 2020. Kronos Saashr, Inc. is the only provider of support and maintenance for this product.
Pursuant to Chapter 3 of the Village’s Purchasing Manual, maintenance of equipment is exempt from competition when services are provided by the equipment manufacturer or manufacturer’s service representative; however, since expenditures exceed $25,000, Council approval is required.
Staff requests authorization to continue utilizing an existing agreement for support, maintenance, licenses, and rental of the Village’s timekeeping and performance review system with Kronos Saashr, Inc. at a cost of approximately $42,045.20, effective October 1, 2019 through September 30, 2020.
