ITEM: AUTHORIZATION TO CONTINUE UTILIZING A NATIONAL COOPERATIVE PURCHASING ALLIANCE (NCPA) CONTRACT WITH MUNICIPAL CODE CORPORATION INNOVATIONS (MCCI), LLC FOR LASERFICHE DOCUMENT MANAGEMENT ANNUAL LICENSING, MAINTENANCE AND SUPPORT
REQUEST: Authorization to continue utilizing a National Cooperative Purchasing Alliance (NCPA) contract, as a basis for pricing, with Municipal Code Corporation Innovations (MCCI), LLC for Laserfiche document management annual licensing, maintenance and support at a cost of $35,233.29 annually.

EXPLANATION: The Village's existing contract with MCCI to provide Laserfiche document management annual licenses, maintenance and support expired on October 3, 2019. MCCI has agreed to continue these services pending Council approval. A cost savings in the amount of $7,853 from the original proposal of $43,086.47 was realized, since the Village no longer requires support and maintenance for all the Village PCARD user licenses. This function is no longer required with the recent migration to Tyler Technologies. The IT Department is seeking authorization to continue utilizing a NCPA contract, with MCCI, as a basis for pricing, to provide such services through October 3, 2020.
On April 2, 2018, Region XIV Education Service Center on behalf of itself and other government agencies and made available through the NCPA, awarded NCPA contract #11-26 to MCCI through April 30, 2021 with the option to renew for two (2) additional one (1) year periods.
MCCI is the premier Laserfiche authorized reseller within the State of Florida offering a competitive overall cost to support and maintain the Laserfiche Document Management System.
