ITEM: AUTHORIZATION TO RENEW EXISTING CONTRACTS FOR THE PURCHASE OF SOD
REQUEST: Authorization to renew existing contracts for the purchase of sod in the amount of approximately $270,000.00 annually and sports field renovation projects exceeding $25,000.

EXPLANATION: The Public Works Department utilizes various sod types to maintain facilities throughout the Village.
On April 26, 2016, Council awarded Bid #008-16/ENR to Odum’s Sod, Inc. a Western Community local vendor and to Agricultural Land Services, Inc. a Palm Beach County local vendor. The contracts are set to expire on April 26, 2020.
Staff is requesting authorization to exercise the final renewal option with both vendors and no price increases through April 26, 2021.
In order to ensure the best price, staff compared a similar Southeast Florida Co-op contract and found the Village’s contract pricing is competitive. Prior year expenditures are approximately $270,140.00.
The following projects which exceed $25,000 in value are proposed to be completed during the downtime associated with the COVID-19 program closures:
Village Park - Field 14 - $ 50,820
Olympia Park Multipurpose Field - $ 59,400
Village Park Multipurpose Fields 1-13, 15, & 16 $120,000
