EXPLANATION: The Public Works Department utilizes a variety of fill materials to maintain park facilities Village-wide.
On April 22, 2022, the Village released ITB #202213 for the Purchase and Delivery of Fill Materials, seeking qualified vendors to provide these services. On May 12, 2022, the Village received one (1) proposal from Florida Superior Sand, Inc. a Palm Beach County local vendor. The Public Works Department is requesting authorization to award a unit priced contract as shown on the attached bid tabulation.
The initial term of the contract is for two (2) years from date of award with the option to renew for three (3) additional one (1) year periods.
Prior year expenditures were $39,249.57. Although annual expenditures do not exceed $50,000, staff is requesting council approval since the initial term of the contract binds the Village into a two (year) contract that will exceed $50,000 cumulatively ($45,000 annually x 2 years = $90,000).
Staff requests authorization to award a contract for the purchase and delivery for fill materials in the amount of approximately $45,000 annually.
