ITEM: AUTHORIZATION TO EXTEND LANDSCAPE MAINTENANCE SERVICE CONTRACTS FOR FACILITIES, PRIMARY ROADS, UTILITY SITES, CANALS AND EQUESTRIAN TRAILS
REQUEST: Authorization to extend landscape maintenance service contracts for facilities, primary roads, utility sites, canals and equestrian trails in the amount of approximately $350,811.30 for a six (6) month period.

EXPLANATION: The Public Works and Utility Departments currently utilize contracts for landscape maintenance services for facilities, primary roads, utility sites, canals and equestrian trails. The contracts expire September 30, 2022.
On September 11, 2018, Council awarded Bid #021-18/DZ to Gardenscapes of the Palm Beaches to provide landscape maintenance services for facilities and utility sites and Wellington Pro Lawn to maintain primary roadways, canals and equestrian trails (both Western Community Local Vendors).
Staff is requesting authorization to extend contracts for six (6) months thru. April 1, 2023 with a 10 % increase, due to operating costs, which accounts for a six month additional financial impact to the Village of approximately $37,107, and a total cost of $350,811.30 as shown below:

Rather than renewing the contract for one additional year, staff recommends extending the existing contract for an additional six (6) months. Staff will then re-solicit all Village-wide landscape services including Primary Roadways, Utility Sites, Canals, Equestrian trails, as well Secondary Roadways and Parks, which are set to expire on April 2, 2023.
Prior year expenditures are $741,282.00.
